Accommodation

GUARANT International (further referred to also as Congress Secretariat) has been appointed as the official hotel accommodation agent for the 2nd Continental Congress of Dermatology / 4th Russian Congress of Dermatovenereology (CCD 2011) and will handle all related arrangements.

List of Hotels

All hotels are located within a reasonable distance from the Taurida Palace.

All rates quoted are per room per night including breakfast and 18 % VAT.

*Please note that price for Hotel Visa Registration Fee for foreign citizens is not included in the price of accommodation. Hotel Visa Registration Fee is requested by Russian Federal Authorities – each foreigner must register his visa with local authorities which is done by the hotel staff if the fee is paid. This fee will be added to the price of your hotel room.

Please note that price of accommodation is not included in the registration fees.

How to make a hotel reservation

To make a hotel reservation, it is necessary to fill in the online Accommodation Form.

Please note that the online Accommodation Form is only accessible with a password. Simply fill in the Personal Data Form and a password will be sent to you. Your password is the same for all online forms.

Reservations will be processed on a “first come, first-served” basis. Due to heavy demand and to the fact that distribution of rooms in many hotels is limited, accommodation cannot be guaranteed after April 25, 2011 although GUARANT International will make every effort to meet participants’ requirements.

Any reservation made after April 25, 2011 is subject to availability.

All rates quoted are per room per night including breakfast and 18 % VAT. Should VAT change before the beginning of the Congress, the Congress Secretariat will automatically change the price of your hotel room and inform you in writing about the new rate.

Extras are to be paid directly at the hotel reception before departure.

Reservation confirmation

The full payment of hotel accommodation is required to guarantee the reservation. After the full payment is received, your hotel reservation will be confirmed in writing by e-mail.

Hotel accommodation must be paid until April 25, 2011.

In case you are sharing the room with another participant of the congress it is possible to pay only your half of the hotel reservation. Invoice can be after the congress issued upon request separately. Please include this request as a note in registration form.

Cancellations, changes and refunds

Please inform GUARANT International about any amendments or cancellations in writing by fax (+ 420 284 001 448) or e-mail (ccd2011(at)guarant.cz).  Telephone amendments will not be accepted.

Date of delivery of your written cancellation to the Congress Secretariat will be considered as the date of cancellation.

Please do not contact the hotel directly for any reservation changes or cancellations. The appropriate refunds will be made after the congress.

Cancellation conditions

The following cancellation conditions apply to the cancellation or shortening of a hotel reservation:

In case of a no show, the room will be kept for the guest until 12 noon of the day following the date of expected arrival; the room will then be released.

Terms of payment

For reservations after April 25, 2011: Please note that payment by bank transfer is only possible until June 14, 2011.

After this date only payments by credit cards will be accepted (you can either use the online payment system or send us an authorization form as mentioned below).

Hotel accommodation must be paid in EUR by one of the following methods:

Bank Transfer

The participant's name should be clearly legible otherwise the payment cannot be identified.

All payments made by bank transfer have to be net of all bank charges. The payer pays the bank charges of their bank, and the beneficiary pays the charges of their bank, if any.

To simplify the identification of your payment please enclose a copy of your bank transfer with the registration form and send it to the Congress Secretariat by fax (+420 284 001 448) or e-mail (ccd2011(at)guarant.cz).

Credit Cards

For payments through the Online Payment System (available after login) only MasterCard/Eurocard and Visa credit cards are accepted. These payments will be charged in EUR.

Please note, that payment through the Online Payment System is available once the Letter of Confirmation is received.

In case you would like to use other credit cards such as Diners Club or American Express, please note, that these would be charged in local currency – Czech crowns (CZK) – at the exchange rate of the Czech National Bank valid on the date of payment.

The approximate exchange rate is 1 EUR = 24,392 CZK (March 2011).

For payments using Diners Club or American Express credit cards please complete the Credit Card Payment Authorization Form (applies also to MasterCard/Eurocard and Visa credit card payments) and kindly send it signed by a card holder to Congress Secretariat by fax (+420 284 001 448) or scanned copy via e-mail (ccd2011(at)guarant.cz).
